Opportunity to be involved
We are seeking an experienced Manager Executive Support to join ARPC on a temporary fixed contract. In this high‑trust role, you will provide proactive executive support to the Chief Operating Officer (COO) and Chief Risk Officer (CRO), ensuring their time, information and priorities are effectively managed.
You will coordinate complex and competing workflows across two executive portfolios, manage governance commitments, handle correspondence on behalf of the Executives and support priority initiatives. Your ability to exercise sound judgement, maintain discretion when handling sensitive information and streamline executive operations will be essential to enabling the Executives to focus on their strategic and leadership responsibilities.
Role responsibilities
Executive Operations and Workflow Management
- Coordinate meetings, workshops and briefings, including scheduling, logistics, technology setup and preparation of materials.
- Manage complex, often competing diaries for the COO and CRO, ensuring alignment to strategic priorities and governance commitments.
- Triage priorities and information, identifying what requires direct executive attention and exercising sound judgement.
- Maintain structured systems for tasks, follow‑ups and workflow management, anticipating requirements and ensuring Executives are always prepared.
- Support financial and administrative processes such as invoices, purchase orders, travel and credit card acquittals.
Planning and Coordination
- Coordinate governance meetings, planning workshops and internal forums, including action tracking and consolidation of inputs
- Provide coordination support for priority initiatives, operational improvements and cross‑functional activities.
- Oversee reporting requirements by collating inputs for board and management reporting.
Correspondence and Information Management
- Manage correspondence, briefs, internal submissions and external enquiries, ensuring timely and professional responses.
- Maintain organised and compliant document and records management systems
Stakeholder and Relationship Management
- Build strong, trusted relationships with internal stakeholders—including ELT members, senior leaders and functional specialists—and external parties.
- Represent the COO and CRO professionally, managing expectations and ensuring clear, timely communication.
- Handle sensitive information with discretion and confidentiality.
Digital Tools, Insights and Continuous Improvement
- Use contemporary digital tools including Microsoft 365, collaboration platforms, workflow systems, and risk/project dashboards to manage executive workflows.
- Identify opportunities for process improvement and streamline administrative workflows, applying a continuous improvement mindset
Candidate Attributes
Qualifications
- High School Certificate, Diploma or Tertiary qualification — Desired
Experience
- 5+ years’ experience in an executive assistant or executive support role in a highly governed environment — Mandatory
- Experience engaging effectively at all organisational levels — Desired
- Knowledge of insurance, reinsurance, banking or financial services — Desired
- Strong experience using planning, performance, risk and project tracking tools — Highly Desired
- Experience supporting governance forums and using digital agenda/pack tools — Highly Desired
- Experience contributing to implementation or enhancements of management tools or systems — Highly Desired
Note
The role is based in Sydney CBD, and you must be an Australian citizen and be able to obtain the Australian Government’s baseline security clearance successfully.
